How to Setup Hosted Exchange on Windows Mobile Devices

There are two ways to set up Hosted Exchange on a Windows Phone 7 and two ways to set up Hosted Exchange on Windows Mobile 6.5. The Hosted Exchange account can be set up as either an Exchange account or as a POP or IMAP account.

To set up Exchange ActiveSync on Windows Phone

  1. On Start, Flick left to the APP list, tap Settings and then tap email and accounts.
  2. Tap add an account and then tap Outlook.
  3. Enter your email address and password then tap sign in. Windows Phone will try to set up your email account automatically. If setup completes successfully, skip to step 6.
  4. If your email account cannot be configured automatically, tap Advanced Setup. You will need to enter the following information:
    • Email address This is your email address (for example, username@yourdomain.com).
    • Password The password for email account.
    • User name This is your email address.
    • Domain This is the part after @ symbol of the email address (for example, yourdomain.com).
    • Server For instructions on finding your server name click here.
    • Select the Server requires encrypted (SSL) connection box.
  5. Tap sign in.
  6. Press OK if Exchange ActiveSync asks you to enforce policies or set a password.

POP or IMAP Setup on Windows Phone 7

To set up POP or IMAP on Windows Phone

  1. Swipe left from the home screen.
  2. Tap Settings and then tap email and accounts.
  3. Tap Add an Account and select Other Account.
  4. Enter your email address and password. Then tap Sign In. Windows Phone will try to configure your email account automatically. If configuration completes successfully, skip to step 6.
  5. If your email account cannot be configured automatically, tap Advanced. You will need to enter the following information:
    • Account name This is a descriptive name for your account.
    • Your name Type your name as you want it to appear when sending email from your phone.
    • Incoming email server For information on finding this server please click here.
    • Account type This will be either POP or IMAP.
    • User name This is your full email address (for example, username@yourdomain.com).
    • Password This is the password for the email account.
    • Outgoing(SMTP) email server For information on finding this server please click here.
    • Tap Advanced settings and tap to select the boxes Require SSL for incoming mail and Require SSL for outgoing mail.
  6. Tap Sign In.

To set up Exchange ActiveSync Setup on Windows Mobile

  1. Tap Start then tap Messaging and then tap Setup Email.
  2. Enter your email address and password, and then tap Next.
  3. Make sure the check box Try to get email settings automatically from the Internet is selected, and then tap Next.
    Your mobile phone will try to get settings from the internet automatically.
    If it fails tap Next. Otherwise go to step 8.
  4. For Your email provider, select Exchange server, and then tap Next twice.
  5. Enter your email address (for example, username@yourdomain.com), and then tap Next.
  6. Tap in the Server box and enter your server name and then tap Next.

  7. Enter your user name and password, and then tap Next. Your user name is your complete email address(for example, username@yourdomain.com).
  8. Select the check boxes for the types of items you want to view on your device, and then tap Finish.

Tap OK when Exchange ActiveSync asks you to enforce policies on your phone. Policies let you configure a password on your mobile phone and use remote device wipe to clear all data from your mobile phone if the phone is lost or stolen.


POP or IMAP Setup on Windows Mobile 6.5

To set up POP or IMAP on Windows Mobile 6.5

  1. Tap Start and then tap Messaging and then tap Setup email.
  2. Enter your email address and password, and then tap Next.
  3. Clear the check box Try to get email settings automatically from the Internet, and then tap Next.
  4. Select Internet email for Your email provider, and then tap Next.
  5. Enter your name and, optionally, change the Account display name, and then tap Next.
  6. Enter the Incoming mail server. For instructions on finding your incoming server click here.
  7. Select the Account type (either POP3 or IMAP), and then tap Next.
  8. Enter your user name (for example username@yourdomain.com), and then tap Next. Your password should already be entered from step 2.
  9. Enter the name of your Outgoing (SMTP) mail server. For information on finding your outgoing server click here.
  10. Select the box marked Outgoing server requires authentication and make sure the box marked Use the same user name and password for sending emails is selected.
  11. Choose how often you want your mobile phone to check for new messages. If you never want your phone to check for new messages, select Manually.
  12. Tap Finish.

Note for POP and IMAP on Windows Mobile 6.5

If you cannot send messages from your Windows Mobile phone using POP3 or IMAP4, but you can receive messages, there might be a problem with the email setup on your Windows Mobile phone. Check to make sure all the settings are correct and fix any that are not. If that does not fix it Microsoft recommends Windows Mobile 6.1 Hotfix for Sending POP and IMAP email.

You can set a ringtone for email and have it different than a text or call ringtone.

Windows Phone will allow you to attach only one document or video per email even if the max email size has not been met. But with pictures you can attach multiple per email as long as the max size has not been met.
